Winning a RFP with modular proposal design

The Challenge

The existing proposal template was dense, and looked like a legal contract. It forced the prospect to read pages of methodology before ever seeing the work or understanding our value. The proposal itself needed to be a proof of concept.

The Process

  • We slashed the heavily-word text and converted dense paragraphs into a simple four-step infographic.
  • built a strict 12-column InDesign grid to keep margins and alignment perfectly unified across all pages.
  • We used clean typography and magazine-style "breather" pages to make heavy content easy to digest.
  • delivered a dynamic PDF with clickable tabs so clients could instantly jump to pricing or key sections.
  • Ensured every slide focused on one main idea.

Results

  • The proposal was clear, strategically understandable and stood out as a deciding factor..
  • The modular grid reduced the time it took the sales team to generate new proposals, while contributing to an increase on the overall close rate on enterprise pitches.
